Privacy Policy

1. Introduction

H Solutions ("we," "us") respects your privacy. This Policy describes how we collect, use, disclose and safeguard information across Hamad's Dental Management (iOS/iPadOS/watchOS), OdontoHamad (Android/Wear OS), and the OdontoHamad website, regardless of platform. It should be read together with our Terms of Use.

2. Summary (Plain-Language Overview)

  • Clinical calculators and wizards process your inputs locally on your device and are not transmitted to or stored on H Solutions' servers, unless explicitly stated otherwise.
  • No account creation, login, or patient-identifiable information is required to use the App.
  • Never enter real patient names, national IDs, or medical record numbers — the App is a reference and calculation tool, not a records system.
  • We may collect limited technical/device data (device type, OS version, crash logs, anonymous usage analytics) to maintain and improve the App.
  • Certain features open external web content in-app (Referral portal, SCFHS Booklet); those third parties have their own data practices.
  • We do not sell your personal information.

3. Information We Do Not Collect

We do not collect, request, or store patient health records, patient names, or any Protected Health Information (PHI) as defined under HIPAA, the Saudi PDPL, GDPR, or equivalent regulations. Clinical parameter values entered into a calculator (e.g., "probing depth: 5mm") are treated as anonymous clinical input, processed locally, and never linked by us to an identifiable individual.

We do not require an account, and we do not collect your name, license number, or contact details to use the App's core reference features. We do not access your camera roll, contacts, microphone, or precise location, except where a specific feature inherently requires it (see Section 4.4).

You are solely responsible for ensuring information you enter into the App does not include real, identifiable patient data.

4. Information We May Collect

4.1 Device and technical information

Device model, OS and version, app version/build, crash reports and error codes, and your language/appearance preference — stored locally to remember your settings.

4.2 Usage analytics (aggregate, non-identifying)

We may use privacy-respecting, aggregated analytics to understand which sections are most used. Any such data is aggregated and not used to build an individual clinical profile of you or any patient.

4.3 Locally-stored calculator inputs

Values entered into the Endodontic Diagnosis Generator, Periodontal Calculator, SCFHS Score Aggregator and similar tools are processed and cached on your own device to display live results. They are not designed to be transmitted to our servers. Any future opt-in cloud sync would be reflected in an updated Policy before release.

4.4 Screenshot watermarking

The App detects screenshots via your device's native notification and overlays a watermark locally. We are not notified when you take a screenshot, and the image itself is not transmitted to or stored by H Solutions.

4.5 Emergency call feature

Tapping "Call 997" uses your device's native dialer. We do not log or store information about this call; it is handled by your device OS and carrier.

4.6 Information you voluntarily provide

If you contact us directly, we collect whatever information you choose to include, solely to respond to your inquiry.

5. How We Use Information

Where collected, information is used only to operate, maintain and improve the App; diagnose and fix technical issues; understand aggregate feature usage; remember your preferences; respond to support requests; and comply with legal obligations. We never use collected information to make, suggest, or influence clinical decisions about a specific, identifiable patient, and we do not use it for targeted advertising.

6. Third-Party Services and Links

The Dental Referral portal (referral.odontohamad.com) and the SCFHS Matching Booklet PDF (hosted on scfhs.org.sa) are loaded in an in-app browser view and may have their own data practices, governed by their own privacy notices, not this Policy. Distribution platforms (Apple App Store, Google Play) may independently collect data under their own policies; we do not control their practices. We do not sell, rent, or trade personal information to third parties for their marketing purposes.

7. Data Storage, Retention, and Security

Calculator inputs and preferences are designed to remain on your device rather than centralized servers. Any limited technical or analytics data transmitted to us is retained only as long as necessary, or as required by law. We implement reasonable technical and organizational safeguards appropriate to the non-PHI nature of the information processed, though no method of transmission or storage is 100% secure.

8. Children's Privacy

The App is intended solely for licensed dental professionals, supervised dental students, and other qualified practitioners, and is not directed at or intended for use by children under 18. We do not knowingly collect personal information from children.

9. International Users and Regional Compliance

Depending on your location, you may have rights under the Saudi Personal Data Protection Law (PDPL), the EU/UK GDPR, the California Consumer Privacy Act (CCPA), or other applicable frameworks — including access, correction, deletion, portability, or objection to processing. Contact us to exercise any such rights.

10. Your Choices and Controls

  • Switch language (English/Arabic) and appearance (light/dark) any time in Settings — stored locally.
  • Control device-level permissions through your OS settings.
  • Uninstalling the App removes locally stored preferences and cached inputs from that device.
  • Where your platform offers an analytics/tracking opt-out, we respect it to the extent technically applicable.

11. Practitioner Data vs. Patient Data

Practitioner-level information (device type, language preference, a support email) may be processed as described above. Patient-level information should never be entered into this App — calculators are designed for anonymized clinical parameter values, not patient identities. Always use de-identified inputs, consistent with your institution's confidentiality obligations and applicable health-data law.

12. Changes to This Privacy Policy

We may update this Policy to reflect changes in our practices, technology, or legal requirements. The "Last Updated" date above reflects the latest revision. Material changes will be highlighted in the App or on our website before taking effect.
